1. Instant lead response
Trigger: a new enquiry arrives through the website, a portal, email or social media.
Steps: the lead is created in the CRM, assigned to the right person, and receives a personal reply within minutes with a link to book a call.
Result: no enquiry waits until someone has time; every lead gets a fast first answer.
2. Missed-call text back
Trigger: a call goes unanswered.
Steps: the caller receives a text saying you will call back shortly and asking how you can help. The reply is logged in the CRM.
Result: calls during meetings or outside office hours no longer turn into lost leads.
3. Lead qualification
Trigger: a lead replies or fills in a form.
Steps: AI reads the message, asks a few short follow-up questions, scores the lead on fit and timing, and routes it to the right person with a short summary.
Result: your team knows who to contact first and why.
4. Appointment booking and reminders
Trigger: a lead or client clicks a booking link.
Steps: they pick a slot in your calendar, receive a confirmation and reminders by email and text, and can reschedule themselves.
Result: less back and forth, fewer missed appointments.
5. Review and referral requests
Trigger: a job, delivery or project is marked as completed.
Steps: the client receives a thank-you message with a direct review link, followed by a reminder if needed and, later, a referral request.
Result: a steady flow of reviews and referrals without anyone having to remember to ask.
6. Social media publishing
Trigger: a new topic or piece of content is added to a planning sheet.
Steps: posts are drafted for each channel, reviewed and approved, then scheduled through the social media scheduler. We run this ourselves for LinkedIn, built in n8n and scheduled through CloudQonnect.
Result: consistent visibility without daily manual posting.
Operations
7. Quote automation
Trigger: a quote request arrives by email or form.
Steps: the request is read, the details are collected, rates are calculated and a quote is prepared in the CRM for review. After sending, an automatic follow-up goes out if there is no reply. We run this in our own business with n8n and CloudQonnect.
Result: quotes go out faster, and nobody retypes customer details or gathers input by hand.
8. Client onboarding
Trigger: a deal is marked as won.
Steps: the client receives a welcome message, the documents to sign and the information they need; tasks are created for the team; access to the client portal is set up.
Result: every new client gets the same complete start, without a checklist kept in someone’s head.
9. Contracts and e-signatures
Trigger: a deal reaches the contract stage.
Steps: the contract is generated from a template with the client’s details, sent for e-signature, and stored with the contact once signed. Reminders go out for unsigned contracts.
Result: no more chasing signatures or searching for the latest version.
10. Document processing
Trigger: an invoice, order, waybill or manifest arrives by email or upload.
Steps: AI extracts the relevant fields, rules check them against existing data, and the result is entered into the right system. Anything unusual is flagged for a person.
Result: far less retyping and fewer errors in data that other processes depend on.
11. Event ticketing
Trigger: someone registers for an event.
Steps: the registration and ticket details are saved in the CRM, a confirmation and ticket are sent, and reminders go out before the event. We built this for our own events in n8n and CloudQonnect.
Result: an attendee list that is always up to date, with no copying between systems.
12. Delay and exception notifications
Trigger: a planned collection, delivery or appointment is at risk of running late.
Steps: the system detects the change, notifies the client proactively with an updated time and alerts the responsible team member.
Result: fewer status calls and more trust, because clients hear about delays before they ask.
13. Invoicing and payment reminders
Trigger: a job is completed or an invoice falls due.
Steps: the invoice is prepared from the job data and checked before sending; reminders go out automatically if payment is late.
Result: invoices go out on time and fewer payments are forgotten.
Clarity and Reporting
14. Pipeline and Sales dashboard
Trigger: runs continuously.
Steps: leads per source, response times, meetings booked, quotes sent and deals won are collected from the CRM into one dashboard, with a weekly summary sent to the team.
Result: a clear view of where deals stand and where follow-up falls behind.
15. Operational and compliance reporting
Trigger: the end of each week or month.
Steps: data such as volumes, turnaround times, CO₂ figures or certificate expiry dates is gathered from different systems and bundled into a report, checked by a person before it is shared.
Result: reports that used to take a day to compile are ready when you need them.
Making automation work for a distributed team
