DATA
1. Your key data is in one place.Customer, order and financial data sit in a CRM or other central system, not spread across personal spreadsheets and inboxes.
2. Your data is reasonably clean.Contacts are not duplicated, fields are filled in consistently, and you trust the numbers you report on.
SYSTEMS
3. Your main tools can connect.Your CRM, accounting software and other core tools offer integrations or an API, so data can move between them without retyping.
4. You know which system is leading.For each type of data, it is clear which system holds the correct version.
PROCESSES
5. Your key processes are known.You can describe how an enquiry becomes a client, an order becomes a delivery and an invoice becomes a payment, step by step.
6. You know where time is lost.You can name at least one process where your team spends hours on copying, chasing or checking.
TEAM
7. Someone owns it.One person has the time and mandate to lead an automation project, even if it is only part of their role.
8. Your team is open to change.The people who do the work are willing to help map processes and test new ways of working.
GOALS
9. You have a clear goal.You know what you want to improve, such as faster response times, fewer errors or more capacity without hiring.
10. You can measure it.You know roughly where you are today on that goal, so you can see whether automation makes a difference.

What your score means

  • 8 to 10 points: you are ready. Pick your first process and start building. The quickest wins are usually in lead follow-up, quotes or document processing.
  • 5 to 7 points: you are almost ready. Start with the points you could not tick, usually mapping your processes or cleaning up your data, and automate one well-defined process alongside.
  • 0 to 4 points: start with the foundation. Get your data into one system and map your main processes first. Automation built on unclear processes only makes the confusion faster.

Why readiness matters

AI and automation make good processes faster. They also make unclear processes fail faster. Most automation projects that disappoint do so for the same reasons: the process was never mapped, the data was not reliable, or nobody owned the result. A short readiness check up front avoids building on the wrong foundation.

Readiness is not about having the latest technology. A business with one CRM, clear processes and a person who owns the project is often more ready than one with ten tools and no overview.

Common gaps and how to close them

  • Data spread across tools: choose one central system for customer data and move the rest into it before you automate.
  • Processes in people’s heads: sit down with the people who do the work and write down the steps, including the unwritten rules.
  • No owner: give one person a few hours a week and a clear goal. Automation without an owner slowly stops working.
  • Too many goals at once: pick one measurable goal for the first project. Success there makes the next project easier.
